Booking Terms and Conditions

These Booking Terms and Conditions apply to all bookings, including recurring services, short-term rental (STR) services, and any specialty add-on services made through ScrubEase. By making a booking or proceeding with payment, you acknowledge and agree to the following terms.

1. Payment and Non-Refundable Fees

All bookings must be paid in full at the time of booking. ScrubEase charges a non-refundable 4% fee on the total booking amount to cover processing and administrative costs. This fee is applicable to all bookings, including recurring, STR, and specialty add-on services, and is non-refundable under any circumstances, even in cases of cancellations or modifications.

2. Cancellation and Refund Policy

All refunds will be processed back to the original payment method within 5-10 business days. ScrubEase is not responsible for any delays caused by third-party payment processors.

3. Recurring Bookings

For customers who opt for recurring services, ScrubEase will automatically schedule your next service once the current one is either completed or canceled. Your payment method will automatically be charged for each booking, including the 4% non-refundable fee.

The same cancellation and refund policies apply to each recurring booking, regardless of whether it is an automatic or manually scheduled service.

To terminate recurring services, you must delete the recurring booking schedule via your account or contact customer support. If you have completed fewer than three services when canceling, a $100 USD cancellation fee will apply. This fee accounts for the discounted rate of recurring bookings. Larger properties may incur higher cancellation fees, which will be communicated during the booking process. ScrubEase reserves the right to update the cancellation fee at any time.

4. Short-Term Rental (STR) Bookings

STR bookings will automatically generate and schedule the next service after the previous service is completed or canceled. Your payment method will be charged for each new booking, including the 4% non-refundable fee.

The cancellation and refund policy outlined in Section 2 applies to all STR bookings.

To stop recurring STR services, you must delete the STR Calendar through your account or contact customer support. A cancellation fee of $100 USD will apply if fewer than three services have been completed. Larger properties may have higher cancellation fees, which will be communicated during the booking process.

5. Specialty Add-On Services

Specialty add-on services are subject to the same cancellation and refund policies as regular bookings. The 4% non-refundable fee applies to these services as well.

6. Refusal of Service Due to Harassment or Unsafe Behavior

ScrubEase reserves the right to refuse service or cancel any booking without refund in cases where any form of harassment, abuse, offensive language, discrimination of any kind, or unsafe behavior is directed toward any ScrubEase employee. In such instances, ScrubEase will still charge the full payment for the scheduled service, and no refund will be issued. Your understanding and cooperation in ensuring a safe and respectful environment for our staff are greatly appreciated.

7. Booking Restrictions and Unconfirmed Bookings

24-Hour Restriction: ScrubEase does not allow bookings to be made for a service time within or less than 24 hours ahead of the desired service time. Any booking within a 24-hour window will be automatically rejected.

Modification Restriction Within 48 Hours: Bookings made within 48 hours before the service time cannot be modified. If you need to make changes, you will have to cancel the booking, and the applicable cancellation fees and refund policies will apply. By making a booking within 48 hours, you acknowledge and accept that modifications will not be allowed, and any cancellation fees will apply.

Unconfirmed Bookings: Bookings are charged upon confirmation. If a booking is not paid for, it is regarded as unconfirmed, and the booking will not be fulfilled unless payment is received. Unconfirmed bookings may have to be rescheduled or canceled if the booking slot becomes unavailable by the time payment is made. You cannot pay for an unconfirmed booking within 24 hours or less to the service time; you must cancel and rebook for another available slot.

8. Service Completion and Customer Responsibility

ScrubEase crew members are expected to arrive within 1 hour of the scheduled booking time. If the crew is delayed beyond 1 hour, you are entitled to cancel for a full refund (excluding the non-refundable fees). Crew members will be allowed up to 4 hours to complete their tasks from the time they arrive at the property.

If the customer prevents the crew from starting work within 15 mins of the scheduled time or interrupts the service, ScrubEase reserves the right to charge the full booking amount, and no refund will be provided unless otherwise agreed in writing. The customer is responsible for ensuring the crew has access to the property within this time frame.

If we are unable to conduct the service due to the customer's fault (e.g., no access to the property), ScrubEase reserves the right to charge for the full amount as though the services were completed. Exceptions may be granted solely at ScrubEase’s discretion.

9. Discount Codes

Discount codes applied to bookings are non-refundable and can only be used once per booking. If a booking is canceled or resolved, the discount code will not be re-applied or reused. Refunds will not include any amounts associated with discount codes, and they are non-recoverable once used by the customer.

10. Communication and Verbal Permissions

With your permission, communicated verbally (over the phone), via email, text message, mail, or other forms of communication, ScrubEase may cancel or modify your booking or account profile. All applicable refund, cancellation, and fee policies still apply in such cases. Recurring and STR bookings will continue to be generated automatically unless you disable them through the STR Calendar or your account settings. The customer is solely responsible for managing these settings, and ScrubEase will not be liable for automatic recurring charges if these settings are not disabled.

11. Dispute Resolution and Arbitration

Any disputes arising out of or relating to these terms or your use of the Services shall be resolved through binding arbitration administered by the American Arbitration Association (AAA) in accordance with its Commercial Arbitration Rules. The arbitration shall take place in Texas, United States, and the laws of Texas shall govern the proceedings. You waive the right to bring claims in court or participate in a class action lawsuit.

In the event of any litigation or arbitration proceedings, should ScrubEase prevail in the case, the customer agrees to cover all legal fees, including attorney's fees and court costs incurred by ScrubEase in the process.

12. Force Majeure

ScrubEase is not liable for any failure to perform its obligations due to circumstances beyond its reasonable control, including but not limited to natural disasters, pandemics, war, terrorism, or governmental actions. In such cases, we will work to reschedule your service for a later date.

13. Right to Refuse Service

ScrubEase reserves the right to refuse or cancel any booking at our sole discretion. In such cases, a full refund will be provided, excluding the 4% non-refundable fee unless the refusal is based on customer violations of these terms.

14. Governing Law and Jurisdiction

These Booking Terms and Conditions are governed by and construed in accordance with the laws of Texas, United States of America. Any disputes or claims arising from these terms shall be subject to the exclusive jurisdiction of the courts in Texas, United States of America.

15. Data Collection and Privacy

ScrubEase respects your privacy and takes data security seriously. Your payment information is handled securely by our third-party payment providers, and we do not store your payment details. By using our service, you agree to our Privacy Policy, which outlines how we collect and use your personal information.

16. Amendments to Booking Terms

ScrubEase reserves the right to amend these Booking Terms and Conditions at any time. Any changes will be posted on this page, and it is your responsibility to review the terms regularly. Continued use of our services after any such modifications constitutes your acceptance of the new terms.

18. Address Verification and Additional Charges

All addresses provided for bookings are subject to verification by ScrubEase. The provided square footage is cross-checked against public records for accuracy. If it is determined that the actual square footage of the property exceeds the value initially provided, ScrubEase reserves the right to adjust the pricing accordingly to account for the difference. This may result in additional charges to reflect the correct service cost based on the property size.

The customer will be notified of any adjustments and given the opportunity to confirm or discuss the updated pricing prior to the scheduled service. By booking with ScrubEase, you agree that any discrepancy in the square footage that impacts the service cost will be resolved through such additional charges as necessary.

ScrubEase ensures transparency and accuracy in all pricing adjustments and will use public records and verified sources to assess property details.

19. Gift Cards

Gift cards purchased from ScrubEase are non-refundable. The non-refundable 4% processing fee applies to all gift card purchases. Gift cards can only be redeemed and used on ScrubEase for new services. While gift card details such as the recipient information can be modified, you must contact ScrubEase customer support to make any changes to your gift card information.
